Agendas and minutes - definitions

An agenda of each Waikato District Council meeting is prepared in order to structure and assist the decision-making process in each meeting. Minutes of each meeting are  recorded to provide a permanent record of what was discussed at each meeting. Members of the public can inspect the agenda and minutes of Council meetings.

What is an agenda?

An agenda is a compilation of reports prepared by staff for the consideration of Council, a Committee or Community Board. Information and recommendations are included in the report to assist the Committee/Community Board in the decision making process.

To easily identify items, the agenda has an order paper, similar to a table of contents, which lists the items to be discussed and the order in which these items will be heard.

A printed version of the agenda is available for public inspection at the following locations:

  • Huntly Area Office, 142 Main Street, Huntly
  • Tuakau Area Office, 2 Dominion Road, Tuakau

The purpose of minutes

Minutes are kept to provide a permanent record of what occurred at a meeting by way of a resolution (previously a recommendation in an Agenda report). A Committee/Community Board has the option to accept, reject, or modify a recommendation.
